Erica is the office manager at a small two-doctor office. She has set herself up as the Time tool system administrator. The two receptionists both have user access so that they can add and modify patient appointments. Since the doctors are somewhat bad with new technology, Erica keeps them as guest users. There are terminals in several places around the office, and a printout of each day's schedule is kept on the bulletin board. Events are color coded by doctor, so each one can see what their schedule is at a glance.
The notes section of each appointment is used by doctors, nurses and receptionists to add short notes about the status of an incoming patient, reminders about billing or the next appointment time. The receptionists are in charge of copying that data into the existing patient database. Much less time is spent on the patient database this way. For patients with email, Erica uses the email option for events to send an email to patients a week before their appointment. Patient names, phone numbers and email addresses are stored in the rolodex and linked to their appointments so that they can be easily contacted if need be. |
